Information that we need to start creating your Project Manuals

A quick reference for Project Managers of the information that we need from you to start our work

Once Denaploy has been commissioned to produce the end-of-project documentation for your project, we aim to work co-operatively with the project manager to ensure that the process runs as smoothly as possible. Our process is to collect information from you, your project team, your sub-contractors, your consultants, et al, and collate it all into an easy-to-use digital manual that will be ready for Handover.

Each project is allocated to an individual Denaploy employee who will be your document manager for this project and has access to a set of tools that feed into our IT platform to help manage the process:

  • You should have been given a username and password and the URL to access the website. (Note that your username and password remain the same for all projects to which you have been given access and there is a 'forgotten password' facility at the 'Live Projects' tab of the menu).
  • You can find the contact details for your document manager for each project on the Info Tab.  Please introduce yourself to your document manager at the start of each project. They will be pleased to explain how we work.
  • From this platform, you can
  • upload files to us - with any special instructions
  • keep up to date on how well your sub-contractors are supplying us with necessary information
  • Keep track of milestones
  • Update us on any changes to the Draft and Handover deadlines (these are very important to us)
  • View updated versions of your manual and issue your reviews
  • We welcome a continuous dialogue especially if the project changes
  • We suggest that you get early confirmation from your client that our format is acceptable to them. It is extremely time-consuming and difficult to redo manuals to a different format after we have created it. Eg if they require a 'special' format, or they require a separate manual for each component of the project etc. (A Proposed manual layout can be issued to ensure your client is happy with the format)

To get started we need the following information: (Use the 'upload' tab)

  • Contract Directory – full contact details and package(s) Click here for our preferred format
  • Construction Phase Health & Safety Plan
  • Scope of works/Project Specification
  • Asbestos Register/Report
  • Other documents. E.g. Fire Strategy, Disabled Access Plan, Design Risks
  • Contact details for the person dealing with any direct purchases that you make for free issue to sub-contractors (view templates section of your project for direct purchases template).

Please get us this information as soon as possible even if it is incomplete or subject to future change.  Thank you.

Note: we will not contact your client or consultants except with your specific permission. We will contact all your sub-contractors to make sure that they understand what we need from them.
